Berlin Management Group builds AI tools that automate the manual, repetitive work eating up your team's time: estimating, invoicing, reporting, data entry. You keep running your business. We make the paperwork disappear.
You didn't build your company to spend weekends on spreadsheets. But that's where the hours go.
Every bid means copying data across dozens of tabs, re-entering the same numbers, and hoping nothing slips through the cracks before the deadline.
Past project costs live in Excel files scattered across your server. Nobody has time to build a real database, so every bid starts from scratch.
Two weeks to turn a bid. Your estimators are working nights and weekends just to keep up, and you're leaving money on the table when they rush.
You know what you bid. You know what you spent. But connecting those two numbers across projects? That takes a consultant and a weekend.
We find the work that's eating your time, build an AI tool to handle it, and measure the results in dollars.
We sit with your team, in person, and map every step of the process that's costing you time. No surveys, no questionnaires. Real conversations.
Using your actual data and your actual process, we build an AI tool that does the repetitive work. You test it. We refine it. It works the way you work.
Time saved, errors caught, bids won. We track real numbers, and our fee is a percentage of your documented savings. If it doesn't work, you don't pay.
We start by going deep in one industry, learning the language, the tools, and the pain points. Then we bring that same model to the next.
Estimating, bid comparison, historical cost databases, subcontractor management. Turning 137-tab spreadsheets into searchable AI tools.
Proposal generation, time tracking, client reporting, and billing automation for firms where back-office work eats into billable hours.
Scheduling, dispatching, invoicing, and job costing for companies that do the work in the field but drown in paperwork at the office.
If your team spends more time on spreadsheets than on the work that actually makes you money, we should talk. The model works across industries.
Real engagements, real problems, real results in progress.
Replacing a 137-tab Excel workbook with an AI tool that pulls historical cost data, compares subcontractor bids, and generates estimates in minutes instead of days.
Have a similar problem? Let's talk about your workflow
Most AI consultants are engineers who learned business. We're operators who learned AI. That makes all the difference.
We've managed P&Ls, run teams, and felt the pain of broken back-office processes firsthand. We speak your language because we've sat in your chair.
Our fee is 20% of your documented savings. No six-figure retainers. No hourly invoices for "discovery." If the tool doesn't save you money, we don't get paid.
We're based in Phoenix and serve companies across the country. Whether we're on-site or remote, we sit with your team and learn how you actually work before we build anything.
We don't sell generic "AI solutions." We learn your industry's standards, tools, and terminology, then build tools that fit the way your people already work.
No "digital transformation roadmaps" or "RPA orchestration layers." We tell you what we're building, what it costs, and what it saves, in words that make sense.
We currently have active engagements in commercial construction, and we serve businesses across professional services, trades, and field services. Our model works for any industry where back-office work is eating into your team's productive time. If your people spend more time on spreadsheets than on the work that makes you money, we can help.
Our fee is 20% of your documented savings. We measure real results like time saved, errors reduced, and revenue impact. You only pay based on what we actually deliver. No retainers, no hourly billing for discovery. If we don't save you money, you don't pay us.
No. We build AI tools that work alongside your existing systems like Excel, QuickBooks, and Procore. We integrate with your workflow, not the other way around. Your team keeps using the tools they know.
Most proof-of-concept tools are built and tested within 4-6 weeks. The audit phase takes about a week, and we refine based on your team's feedback from there. You'll see something working well before any money changes hands.
We work best with small and mid-sized businesses, typically 10 to 200 employees. Big enough to have real back-office pain, small enough that the owner still feels it. If you're a business owner who's still personally involved in the day-to-day, we're built for you.
Yes. We explain everything in plain English, no jargon, no buzzwords. You'll know exactly what we're building, why we're building it, and what it'll save you. If it doesn't make sense to you, we haven't done our job.
No hype. No buzzwords. Just useful thinking about how AI can actually help your business.
Most estimators don't have a data problem. They have a "data is trapped in Excel" problem. Here's what we found when we cracked open a real bid workbook.
Coming soonAI isn't magic. It works best on specific types of problems. Here's how to tell if your business is a good fit before you spend a dime.

I was born and raised in Arizona, and I’ve spent my career running operations and managing teams across the United States — overseeing budgets, vendors, and the never-ending pile of paperwork that comes with keeping a business moving. Along the way, I got deep into architecting enterprise-class software for mid-market and small companies, which is where I saw firsthand how much the right technology can change a business.
I’ve always had a deep respect for smaller companies. Building something from the ground up is hard work, and the people who do it deliver an incredible service and build a culture that big companies can only dream of. But too often, they’re buried in manual work that eats into their bottom line. That’s why I started Berlin Management Group — because a small company’s bottom line matters just as much as anyone else’s. AI can handle the repetitive stuff like data entry, cost lookups, and report formatting, so your team can focus on the work that actually grows your business.
While I serve companies nationwide, Arizona will always be home — and helping local businesses here get ahead with AI is something I take personally. I’m not a tech guy who learned business. I’m an operations guy who learned to build software and then learned AI. I don't build anything until I've sat with your team, understood your process, and can show you exactly where the time and money are going.
We'll walk through your back-office workflow and show you exactly where AI can save you time and money, and where it can't. No cost, no pressure, no jargon.
