What we're implementing right now

AI Bid Estimating Implementation

A commercial general contractor in Arizona was running every bid through a 137-tab Excel workbook. Estimators spent 2+ weeks per bid copying data across spreadsheets manually, with no centralized cost history and no way to compare subcontractor pricing at a glance.

We're implementing an AI workflow that reads their historical bid data, looks up costs automatically, and generates estimate sheets in minutes instead of days.

40-60% time reduction

Estimate prep that took days is moving to hours

137-tab workbook replaced

One searchable workflow system instead of dozens of spreadsheet tabs

Historical cost database

Every past bid becomes searchable data for future estimates

CSI MasterFormat standard

Industry-standard cost codes for consistent, reliable estimates

In progress — Proof of concept phase

Your best people are buried in busywork

You didn't build your company to spend weekends on spreadsheets. But that's where the hours go.

Manual estimating

Every bid means copying data across dozens of tabs, re-entering the same numbers, and hoping nothing slips through the cracks before the deadline.

Scattered historical data

Past project costs live in Excel files scattered across your server. Nobody has time to build a real database, so every bid starts from scratch.

Tight turnarounds

Two weeks to turn a bid. Your estimators are working nights and weekends just to keep up, and you're leaving money on the table when they rush.

No visibility into costs

You know what you bid. You know what you spent. But connecting those two numbers across projects? That takes a consultant and a weekend.

Three steps. No jargon.

We find the work that's eating your time, implement AI into the workflow causing the bottleneck, and measure the results in dollars.

1

We audit your workflow

We sit with your team, in person, and map every step of the process that's costing you time. No surveys, no questionnaires. Real conversations.

2

We implement the workflow

Using your actual data and your actual process, we implement AI into the workflow that's costing you time. You test it. We refine it. It works the way your team already works.

3

We measure the savings

Time saved, errors caught, bids won. We track real numbers so the impact of the engagement is measurable, not just felt. Every deployment is technically reviewed to ensure the automation fits the client environment before launch.

Built for businesses that run on bids, jobs, and projects

We start by going deep in one industry, learning the language, the tools, and the pain points. Then we bring that same model to the next.

Property Management

Tenant communication, maintenance dispatch, lease renewals, compliance tracking, and owner reporting for companies managing portfolios at scale.

Trades & Field Services

Scheduling, dispatching, invoicing, and job costing for HVAC, electrical, plumbing, and other field-based trades that do the work in the field but drown in paperwork at the office.

Your Industry

If your team spends more time on spreadsheets than on the work that actually makes you money, we should talk. The model works across industries.

Who we work best with

We do our best work with companies that fit a specific profile. Here's how to tell if we're the right fit.

Best fit if:

  • You have 10 to 200 employees and feel the growing pains in your back office
  • Your business is job-based, bid-based, or project-based (construction, trades, Property Management)
  • Your team relies on Excel, QuickBooks, Procore, email, or PDFs to get work done
  • The owner or ops lead still personally feels the pain of admin work
  • You want measurable results before you pay for anything

Probably not a fit if:

  • You're looking for a generic chatbot or off-the-shelf AI product
  • You need a large-scale enterprise transformation program
  • Your workflows aren't documented at all and nobody owns the process internally
  • You want to "explore AI" without a specific problem to solve

Not another tech company

Most AI consultants are engineers who learned business. We're operators who learned AI. That makes all the difference.

Operations background, not engineering

We've managed P&Ls, run teams, and felt the pain of broken back-office processes firsthand. We speak your language because we've sat in your chair.

Fixed-fee, scope-clear engagements

Scope and price are set after the free 30-minute back-office audit. No six-figure retainers. No hourly invoices for "discovery." You know what the engagement costs and what it covers before any work begins.

Arizona roots. Valley-wide results.

We're based in Phoenix and serve companies across the country. Whether we're on-site or remote, we sit with your team and learn how you actually work before we build anything.

Your industry, specifically

We don't sell generic "AI solutions." We learn your industry's standards, tools, and terminology, then build tools that fit the way your people already work.

Plain English, always

No "digital transformation roadmaps" or "RPA orchestration layers." We tell you what we're building, what it costs, and what it saves, in words that make sense.

Straight answers

We serve businesses in home services, construction and contracting, and property management. Our model works for any industry where back-office work is eating into your team's productive time. If your people spend more time on spreadsheets than on the work that makes you money, we can help.

BMG uses fixed-fee implementations and audit-based engagements. The free 30-minute back-office audit produces a written scope and price so you know what the engagement covers and what it costs before any work begins. No retainers, no hourly billing for discovery, no surprise overages.

No. We implement AI workflows that work alongside your existing systems. In most cases, we integrate with the software your team already uses instead of replacing it.

Most proof-of-concept tools are built and tested within 4-6 weeks. The audit phase takes about a week, and we refine based on your team's feedback from there. You'll see something working well before any money changes hands.

We work best with small and mid-sized businesses, typically 10 to 200 employees. Big enough to have real back-office pain, small enough that the owner still feels it. If you're a business owner who's still personally involved in the day-to-day, we're built for you.

Yes. We explain everything in plain English, no jargon, no buzzwords. You'll know exactly what we're building, why we're building it, and what it'll save you. If it doesn't make sense to you, we haven't done our job.

We use AI to accelerate design and implementation, but every client automation is technically reviewed for architecture, integration fit, and deployment risk before going live in a client environment.

Brad Berlin

Founder, Berlin Management Group

I was born and raised in Arizona, and I've spent my career running operations and managing teams across the United States, overseeing budgets, vendors, and the never-ending pile of paperwork that comes with keeping a business moving. Along the way, I got deep into architecting enterprise-class software for mid-market and small companies, which is where I saw firsthand how much the right technology can change a business.

I've always had a deep respect for smaller companies. Building something from the ground up is hard work, and the people who do it deliver an incredible service and build a culture that big companies can only dream of. But too often, they're buried in manual work that eats into their bottom line. That's why I started Berlin Management Group, because a small company's bottom line matters just as much as anyone else's. AI can handle the repetitive work like data entry, cost lookups, and report formatting, so your team can focus on the work that actually grows your business.

I bring a Generation X mindset to the work: practical, accountable, and focused on solving real problems without unnecessary complexity.

While I serve companies across the Valley, Arizona will always be home, and helping local businesses here get ahead with AI is something I take personally. I'm not a tech guy who learned business. I'm an operations guy who learned to build software and then learned how to apply AI. I don't build anything until I've sat with your team, understood your process, and can show you exactly where the time and money are going.
